Job Title: Virtual Executive Assistant
Role & Responsibilities
High Impact Dealer, a growing digital marketing agency serving the outdoor power equipment industry, is seeking a proactive and detail-oriented Virtual Executive Assistant to support our CEO. This is a remote, full-time role with growth opportunities, perfect for someone who thrives on structure, enjoys keeping operations organized, and embodies our core values of being Humble, Hungry, and People Smart.
As a Virtual Assistant, you’ll be a key partner to our CEO and leadership team, ensuring the smooth operation of communications, schedules, and internal processes. You will manage administrative workflows, support client-facing communications, and help the team stay on track with projects and reporting.
What You’ll Do
- Manage the company’s and CEO’s main inbox and calendar, including emails, scheduling, reminders, and follow-ups
- Draft, proofread, and send professional client communications such as acknowledgments, onboarding messages, proposals, NDAs, and contracts
- Assign, track, and manage team tasks using tools like Google Sheets, ClickUp, and GHL
- Maintain sales pipeline records and track client ad budgets accurately
- Prepare, update, and maintain Looker Studio reports for internal and client-facing use
- Keep organized and up-to-date records in GHL, ClickUp, and Google Drive
- Assist with scheduling and coordinating meetings across multiple time zones
- Provide general administrative support, including data management, follow-ups, and light research
- Support internal communications and process documentation to improve team workflows
What We’re Looking For
- Proven experience supporting executives or leadership teams in a virtual environment
- Expert-level proficiency in Google Workspace, especially Google Sheets
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Experience with ClickUp, GHL, or similar project/task management platforms
- Detail-oriented, proactive, and highly reliable
- Professional demeanor with client-facing communication experience
